Head of Client Services   

Reports to General Manager

Based at Battersea, London

Salary £32,000 - £35,000 dependent on experience 

This is a wide-ranging and exciting role in a fast growing and ever changing business. Our ideal candidate will have great customer service skills and a positive can-do attitude to help drive our Client Services team to deliver unparalleled service to our clients. This position is for a problem-solver who is a great team player, ambitious and looking for their next challenging travel role.      

Roles and Responsibilities:

Recruitment and Training

  • Recruiting and training permanent and seasonal staff on all aspects of the Client Services function

Daily Management

  • Assigning, prioritising and managing workloads amongst the team:
    • Ensuring all client invoices are checked and sent in accordance with ABTA’s Code of Conduct
    • Manage the mailing of all travel documents to ensure accuracy and distribution within Ski Solutions service standards
    • Tour Operating Administration - checking all tour operator bookings, reconciling client confirmations and supplier invoices
    • Ensuring all client enquiries are handled within Ski Solutions service standards
    • Credit Control – ensuring all clients are notified of their upcoming balance due date and chasing clients in a timely manner to pay any overdue monies

Client Communication

  • Working with Marketing ensure all pre and post departure correspondence is sent according to the weekly schedule
  • Uploading booking data to Feefo to ensure web reviews are up to date

Ski Extras

  • Managing KPIs for ancillary sales including ski hire, ski school and lift passes
  • Creating offers and team incentives to meet monthly targets

Flight Management & Operations

  • Working with the Operations Executive, manage ticketing queues
  • Liaise with outsourced IATA ticketing providers
  • Administration and day to day management of flight allocations and airline contracts
  • Flight changes/cancellations
  • Manage transfer companies and short break transfer programme

Health and Safety

  • Manage the Health and Safety programme

Duty Management

  • Manage and lead out of office duty cover

Client Feedback

  • Dealing with client complaints and feedback in writing and by phone and social media in line with ABTA’s code of conduct. Liaising with other departments, fully investigating issues and escalating where necessary.

Essentials:

· Line management or supervisory experience

· 2 years+ within customer service and operations/administration

· Experience of handling complaints and ABTA’s arbitration process and procedures

· Highly organised

· Calm under pressure with an ability to meet deadlines

· Absolute, unwavering attention to detail

· Numerate

· Good working knowledge of MS Excel

Would like:

· Language skills (French, German or Italian) are useful

· Airline and ticketing abilities using Lime, Aviate or Farelogix

· A background within high-end tailor-made travel

Operations Executive

Reports to Head of Client Services

Based at Battersea, London

Salary £22,000 - £24,000 dependent on experience 

This is a wide-ranging and exciting role, supporting our tailor-made winter-sports programme, in a fast growing and ever changing business. Our ideal candidate will have a keen eye for detail and a positive ‘can-do’ attitude.

Roles and Responsibilities

Tour Operating Administration

  • Checking all tour operator bookings, reconciling client confirmations and supplier invoices
  • Liaising with the sales and client service teams to ensure all booking components are correctly booked and working where required with clients on changes and additions to bookings
  • Flight changes/cancellations
  • Manage transfer companies and short break transfer programme
  • Working with the Operations Assistant to anage the mailing of all travel documents to ensure accuracy and distribution within Ski Solutions service standards
  • Supporting our Head of Product & Commercial with hotel and chalet allocations
  • Provide out of office duty cover

Flight Management

Working with the Head of Client Services:

  • Manage ticketing queues
  • Liaise with outsourced IATA ticketing provider
  • Administration and day to day management of flight allocations and airline contracts

Health and Safety

  • With the Head of Client Services, manage the Health and Safety programme

Client Service Concierge

Reports to Head of Client Services

Based at Battersea, London

Salary £19,000 - £21,000 dependent on experience 

This is a wide-ranging and exciting role, supporting our winter-sports programme, in a fast-growing and ever-changing business. As part of our Client Services team you will be responsible for every aspect of the booking process once the client has confirmed their holiday. Our ideal candidate will have unparalleled customer service skills, a keen eye for detail and a positive ‘can-do’ attitude.

Roles and Responsibilities:

Concierge

  • Provide support and guidance to the client post booking, ensuring unparalleled service is delivered at all times
  • Answering client queries regarding their accommodation or resort by phone and email
  • Selling Ski Solutions ski hire to clients
  • Assisting clients to book lift passes, ski school, nannies and restaurants

Administration

  • Liaising with tour operators or directly with European and North American suppliers to administer changes to client bookings
  • Processing new bookings and invoices
  • Preparing travel itineraries and sending client travel documents

Credit Control

  • Arranging client payments by phone or bank transfer
  • Chasing clients in a timely manner to pay any overdue monies

Essentials:

  • Previous office experience
  • Excellent written communication and a friendly telephone manner with a willingness to go the extra mile
  • Exceptional organisational skills and attention to detail
  • You must work well in a team with a hard-working and flexible approach
  • Numerate
  • A love of the mountains and all things ski and travel

Operations Assistant

Reports to Head of Client Services

Based at Battersea, London

Salary £18,000

This is a wide-ranging and exciting role, supporting our winter-sports programme, in a fast-growing and ever-changing business. As part of our After Sales team you will be responsible for supporting our clients and Client Service Concerige team with all administrative aspect of the booking process once the client has confirmed their holiday. Our ideal candidate will have passion for ski and travel, a keen eye for detail and a positive ‘can-do’ attitude.

This is a great opportunity for you to gain office experience during your gap year or post-university, in a young, vibrant and sociable team.

Roles and Responsibilities:

  • Processing new bookings and invoices
  • Preparing travel itineraries and sending client travel documents
  • Producing ski hire vouchers for the client
  • Collecting client names and passenger details prior to departure
  • Liaising with tour operators to administer changes to client bookings
  • Supporting the Head of Client Services and the wider team with ad hoc admin duties

Ski Sales Account Manager

Based at Battersea Studios, London

Reports to Sales Manager

Role Profile

We are looking for a talented Account Manager to join our leading winter-sports tour operator and travel agent. This is a fantastic opportunity to join an innovative, fast-paced sales team within a fast-growing luxury travel company based in a fantastic office in south-west London.

As Account Manager, you will be the first point of contact for clients. The purpose of this role is to develop and maintain a relationship with clients through focused account management. Using your sales skills and experience, you will convert enquiries into bookings making sure that agreed targets are achieved whilst maintaining the company’s high standard of unparalleled service. It’s important you are a keen skier who’s passionate about the mountains and looking for an exciting new challenge.

Key Responsibilities

  • Convert enquiries into sales by tailoring a package specific to the client’s requirements
  • Using expert knowledge of the ski industry to recommend a holiday package for clients
  • Attempting to close the sale at every opportunity
  • Actively seek to improve the level of service offered to clients with a commitment to go the extra mile and exceed expectations
  • Achieve and exceed sales performance targets against KPI’s including call conversion and margin targets
  • Take ownership and accountability of your work ensuring 100% booking accuracy
  • Develop and increase knowledge of products across the Ski Solutions range
  • Demonstrate willingness and flexibility to assist other departments with customer queries
  • Outbound calls to existing clients to maintain Account Manager relations
  • Manage your sales pipeline and bookings using our CRM and reservation systems

Personal Specification

Knowledge and Experience:

  • Proven sales track record, preferably in ski sales/tailor made ski sales
  • Proven record of working in a target driven sales environment
  • Highly sales motivated

Skills:

  • Excellent verbal and written communicator, builds strong trusting relationships with clients
  • Ability to work under pressure to handle targets with a strong sense of urgency

Attributes:

  • Pro-active problem solver and takes ownership for own performance
  • Committed and flexible approach, a strong team player

Remuneration

We are proud to offer a market leading remuneration package that rewards hard work. All of our new starters undertake an extensive three-month training and induction period. The average OTE for a new starter in their first year with modest sales experience is £32k. Our higher earners with a few years’ experience earn over £45k on average, with uncapped commission potential.
