Senior Operations Executive

We are looking for a Senior Operations Executive to join our team based in Brixton, London. This is a wide-ranging and exciting role, supporting our winter sports and cycling programs, in a fast-growing and ever-changing business. As a key part of our Operations team, you will be responsible for the accurate and timely delivery of our holidays, with a specific focus on our flight offering. Our ideal candidate will have unparalleled attention to detail, the willingness to go the extra mile and a flexible, positive attitude.

Roles & Responsibilities

  • Manage all flight ticketing and payment requirements, ensuring no deadlines are missed or bookings ticketed unnecessarily
  • Process all airline schedule changes in a timely manner, whilst identifying severity of change and establishing appropriate action to be taken, in line with PTRs and level of potential disruption to onward travel plans
  • Support Sales and Client Services teams to ensure services are booked accurately with suppliers, and loaded correctly in our in-house booking software
  • Process all client cancellations appropriately
  • Review and maintain accurate supplier information and client documentation on annual basis
  • Prepare travel itineraries and dispatch client travel documents 
  • Liaise with local suppliers to resolve issues / administer changes to client bookings 
  • Appropriately process and communicate supplier amendments in a timely manner
  • Prepare manifests and work closely with local suppliers to reconfirm booking details 
  • Assist with coordination of pre-booked allocation product
  • Produce and maintain training / informational resources for use internally
  • Assist with reviewing and developing internal processes, both within the Ops team and inter-departmentally
  • Assist with onboarding of new staff members, and lead on training new staff within the Operations team
  • Daily monitoring of shared email inboxes - actioning / distributing / filing emails as required
  • Participate in covering the 'Duty Phone' on a seasonal rotational basis (additional payment)
  • Occasional Saturday shift work required during the winter season on a rotational basis (time off in lieu)

Essential Skills & Experience 

  • At least 1 year experience in an operations, client services or sales position within tailor-made travel
  • Experience working with scheduled airlines, specifically ticketing, and managing schedule changes
  • Excellent time management skills, ability to multi-task, and impeccable attention to detail
  • Ability to communicate effectively with suppliers, co-workers and b2b partners using a variety of communication channels
  • Ability to handle competing demands and delegate effectively
  • Practical thinker with solutions focused personality and creative problem-solving skills
  • Cooperative attitude, with a genuine willingness to go the extra mile when working to achieve common goals

Desired Skills & Experience

  • Language skills (French, German or Italian) are useful but not essential
  • A love of the mountains and / or cycling and travel
  • Previous incident management experience
